Description:
The Customer Service/Shipping Coordinator is responsible for providing excellent customer support while coordinating shipping, delivery activities and front desk duties at the San Antonio facility. This role serves as the primary point of contact for customers regarding orders, shipment status, delivery schedules, and issue resolution. The position works closely with warehouse, production, logistics and sales teams to ensure accurrate and timely order fulfillment.
Essential duties and responsibilities:
- Serves as the primary contact for customer inquiries via phone email and other communication channels.
- Process customer orders accurately and efficiently.
- Provide customers with order status upddddate, shipping information, and delivery schedules.
- Resolve customer concerns, complaints and product delivery issues in a professional manner.
- Maintain strong customer relationships through excellent service and communications.
- Coordinate with internal departments to address customer needs and ensure satisfaction.
- Prepare and process shipping documentation, including bills of lading, pick tickets, packing slips and shipping labels.
- Coordinate with domestic and international shipments with carriers and freight providers.
- Schedule pickups and deliveries to meet customer requirements.
- Monitor shipments and track orders to ensure on-time delivery.
- Send Customer ASN's documenting what was shipped. Maintain related files.
- Investigate and resolve shipping discrepancies, delays, and freight claims.
- Verify shipping information for accuracy and compliance with company procedures.
- Maintain shipping records and update systems with shipment details.
- Close shipping for the previous day shipments.
- Assist with inventory reconciliation and product availability inquiries.
- Collaborate with warehouse personnel to ensure timely order fulfillment.
- Generate reports related to orders, shipments and customer service metrics.
- Maintain organized files and records for customer orders and shipping transactions.
- Support continuous improvement initiatives within customer service and logistics processes.
- Greeting visitors and guiding them to the appropriate team member.
- Maintain accurate customer pricing information in orders.
- Participate in customer visists as deemed necessary.

- Other miscellaneous duties, as assigned by the Materials Manager.
Qualifications:
- High School diploma or equivalent required, associate degree preferred.
- 2+years of experience in customer service, shipping, logistics or a related field.
- Experience with ERP systems, shipping software, or warehouse management systems preferred.
- Proficiency in Microsoft Office Suite, especially Excel and Outlook.
- Knowledge of shipping procedures, freight terminology, and carrier operations is a plus.
