The Payroll Administrator is responsible for generating weekly and semi-monthly payroll and associated functions for all hourly and salaried employees of Nolato GW, as well as the maintenance of payroll information in internal systems.


ESSENTIAL DUTIES and responsibilities:

  • Verify accurate hours worked each week for employees by collecting employee hours from the time system, and obtaining supervisor approval.

  • Upload hours to ADP portal to generate weekly hourly payroll checks. Adhere to ADP schedule to insure paychecks are generated on time.

  • Distribute live paychecks weekly for hourly employees and semi-monthly for salaried employees, ensuring that paychecks sent to remote locations are mailed on time.

  • Retrieve routine information for tax withholding, child support, and other mandatory wage withholding from ADP, reconciles, and report to Finance Director as needed.

  • Maintain accurate recordkeeping of employee paid time off.

  • Work closely with Human Resources to ensure that all employee benefits enrollment data entry and changes, payroll status changes, retroactive pay adjustments, 401k enrollments and adjustments, new hires and terminations, and other payroll-related transactions are completed accurately and in a timely manner.

  • Ensure that monthly invoices for all ancillary benefits are reconciled and paid in a timely manner.

  • Perform audits related to VT healthcare reporting to ensure employees are set up properly, using information from the VT HC-2 form.

  • Ensure ACA compliance information is accurate, performing periodic audits for accurate printing of 1095 forms at year-end.

  • Perform audits in WorkForceNow, verifying consistency and accuracy of data, such as business unit, location, department reporting, workers comp code, etc.

  • Liaison with ADP to ensure that all tax jurisdictions are set up properly.

  • Collaborate with HR team to ensure accurate annual EEO filings.

  • Maintain and reconcile employee tool advances.

  • Perform other duties as assigned.


  • Bachelor’s Degree or the equivalent in work experience is required.

  • Familiarity with HRIS and/or payroll systems is required; prior experience with ADP desired.

  • Exceptional organizational and analytical skills required.

  • Professional, flexible, and highly motivated approach with the ability to work collaboratively in a fast-paced environment.

  • Excellent communication and interpersonal skills.

  • Ability to maintain a high degree of confidentiality and discretion with sensitive organizational data.

  • Advanced Excel knowledge including the ability to work with pivot tables, v-lookups and other functions desired.
